About the Role

Absa Bank is looking for an Administrator: Trust Services to assist Trust Officers and Trust Managers with the general administration of trusts. The role involves processing financial transactions accurately and timeously according to standard operating procedures (SOPs).

Key Responsibilities

1. General Trust Administration

  • Verify new trust files (Testamentary or Inter Vivos) against the Will or Trust Deed.
  • Prepare and send client welcome letters with needs analysis forms.
  • Register trust with SARS by drafting and submitting required documentation.
  • Provide required security to the Master of the High Court in the case of third-party inter vivos trusts.
  • Prepare and submit the “Acceptance of Trusteeship” documentation.
  • Follow up on the issuing of Letters of Authority.
  • Arrange property insurance and ensure timely premium payments.
  • Handle rates and taxes — change addresses with municipalities, follow up on bills, and arrange payments.

2. Asset Management

  • Ensure proper transfer and insurance of all trust assets (furniture, vehicles, policies, etc.).
  • Monitor premium payments through system-generated reports.

3. Payments & Allowances

  • Prepare monthly debit orders based on client needs.
  • Evaluate client requests (allowances, school fees) per Trust Manual guidelines.
  • Facilitate ad-hoc payments by considering capital, trust terms, and supporting documentation.

4. Communication & Correspondence

  • Draft letters, emails, and SMS to clients.
  • Manage incoming and outgoing mail, phone calls, faxes, and emails from various stakeholders.

5. Financial Oversight

  • Ensure liquidity by coordinating timely investment withdrawals.
  • Instruct the collection of trust-related fees (Acceptance, Distribution, Management, and Income Tax fees).

6. Filing & Record-Keeping

  • Maintain accurate records of correspondence, year-end statements, and certificates.

Education & Experience Requirements

  • Qualification: Further Education and Training Certificate (FETC) in Office Administration (Required).
  • Familiarity with trust administration processes and legal compliance is essential.
