Job Title: Reception/Administration Learner – Fragrances

Purpose

Receive visitors and phone calls so that all callers/visitors are dealt with promptly, courteously, and accurately.



Responsibilities

Visitors

Greet visitors and determine the nature of their visit; issue visitor passes and maintain visitor logs; alert appropriate party of visitor arrival or direct visitors to appropriate office, department or employee
Respond to routine inquiries from internal or external sources, for example on the organisation’s location, hours of operation, phone numbers, or email address



Phone Calls

Receive phone calls and re-direct callers to the desired recipients
Take and distribute accurate messages

Office/Admin Support

Book conference rooms and ensure proper equipment is available (projectors, flipcharts, pens and paper)
Send, receive and distribute mail, courier packages
Order office supplies, re-stock supply rooms


Academic Background:

Grade 12
Technical Skills
Fluent English
Computer Literacy
Ability to operate office equipment
Ability to communicate effectively in both written and oral format
Strong interpersonal skills
Attention to detail
