KEY DUTIES & RESPONSIBILITIES

Bookings Clerk Functions:

  • Ensure timely closure of all jobs
  • Cost jobs according to flat rate manual
  • Assist service advisors during peak hours
  • Take service bookings when required
  • Efficiently manage the booking diary (bucket system)
  • Plan to ensure customer departures are smooth in the mornings
  • Coordinate between service advisors and foreman
  • Keep booking sheet neat and updated
  • Provide accurate information and friendly service to all customers
  • Obtain authorizations from service plans and fleet companies
  • Maintain up-to-date filing
  • Send debtor invoices promptly

Receptionist / Switchboard Operator Duties:

  • Answer incoming calls promptly
  • Ensure customer comfort in the reception area
  • Manage the switchboard (transfers, messages, etc.)
  • Limit wastage while managing lighting/machinery
  • Oversee front desk cleanliness and reception area
  • Support junior staff and cleaners
  • Complete required weekly/monthly reports for Dealer Principal / Accountants
  • Assist with general admin tasks

QUALIFICATIONS & EXPERIENCE:

  • Matric
  • 3–4 years experience in a similar role

SKILLS & ATTRIBUTES:

  • Professional, well-organized, and customer-oriented
  • Strong communication and coordination skills
