Job Title: Document Management Clerk (KZN Office)

Remuneration Grade: B2


Purpose of the Job

To perform all clerical duties according to processes, procedures, and standards in terms of Disputes, Enforcement Administration, and Litigation Administration document management and control within the region.


Key Objectives

  • Receive and dispatch Disputes, Enforcement Administration, and Litigation correspondence, documentation, and post daily; record and track accordingly.
  • Maintain a credible filing system, including administering the Metrofile VYSION Filing system where applicable.
  • Keep and monitor a register for new registrations e-mailed to Head Office.
  • Maintain register for inspections received for filing.
  • Submit weekly progress reports on filing activities.
  • Ensure documentation and files are updated and appropriately filed.
  • Retrieve and track dispatched files.
  • Resolve queries related to filed documentation.
  • Scan and file electronic documentation as required.
  • Keep an Excel register for CCMA and Labour Court cases.
  • Report on filing challenges and provide recommendations for improvement.
  • Perform typing, proofreading, and spelling corrections as required.

Essential Requirements

  • Matric Certificate.
  • At least 1 year administration experience.
  • Computer literacy.
  • Knowledge of filing systems.
  • Numeracy skills.
  • Basic report writing skills.
