VACANCY: GRANT ADMINISTRATOR (Ref: Grant Administrator: 03)

Main Purpose of the Job

To carry out accounting and administrative duties and maintain the petty cash process.


Key Performance Areas

  • Adhere to financial policies and procedures.
  • Complete petty cash requisition vouchers and ensure they are signed by the Project Head.
  • Disburse money, store vouchers, and obtain recipient signatures for all cash disbursements.
  • Attach proof of money distribution (e.g. receipts, reimbursement forms, etc.).
  • Ensure petty cash is securely stored outside designated usage times.
  • Reconcile daily disbursements and balance cash and voucher books.
  • Investigate and record shortages or surpluses, and document disbursements on the system.
  • Submit petty cash reconciliations to WHC for payment.
  • Prepare and arrange FNB petty cash replenishment forms for reimbursement.
  • Ensure forms are approved and signed by two project directors before submission to FNB.
  • Record receipt of petty cash funds on the log sheet.
  • Maintain assigned accounts.
  • Assist the Grant Management team with ad-hoc tasks and loading of internal invoices for payment.


Required Minimum Education and Training

  • Grade 12 with Accounting.
  • A relevant certificate in Bookkeeping or Finance will be an added advantage.


Required Minimum Work Experience

  • At least 3 years’ general administration experience.

Desirable Additional Education, Work Experience and Personal Abilities

  • Proficient in Microsoft Office (Excel and Outlook).
  • Experience with any accounting system and online banking is essential.
  • Strong organizational and administrative skills.
  • Systematic, analytical, and detail-oriented.
  • Self-motivated, confident, and assertive.
  • Able to prioritize workload and meet deadlines.
  • Resilient to interruptions and willing to work additional hours if required.
  • Able to establish effective working relationships with WHC staff and external stakeholders.
  • Capable of working independently and as part of a multidisciplinary team.
  • Able to provide sound knowledge and advice to stakeholders.
