Job Description:
The Warranty Clerk is responsible for ensuring timely and accurate submission of claims in line with Company and Hyundai Automotive SA policies. The role aims to build customer trust by delivering professional service and maintaining claim processes efficiently.
Key Responsibilities:
- Validate all vehicle data before entry
- Review job cards for car shop, paint, and panel before costing
- Ensure correct damage codes are captured on all claims
- Resolve and finalise claim queries promptly
- Maintain the security, cleanliness, and order of the parts claim store
- Tag all warranty parts correctly
- Dispatch prescribed parts to suppliers within specified timeframes
- Process paint shop claims
- Coordinate with HASA warranty department for smooth claim processing
- Track and follow up on back-ordered warranty parts
- Ensure customers return for back-order repairs
- Check vehicle history and past warranty work
- Confirm vehicle is within warranty period and accurate mileage is recorded
- Ensure Workshop inspection and diagnosis precedes claims
- Confirm warranty part availability and correct part numbers on claims
- Obtain required authorisations before proceeding with repairs
- Adhere strictly to the warranty policy
- Reconcile warranty job cards, invoices, and claims against the warranty register
- Submit warranty documentation to HASA within 7 days of repair completion
- Follow up with HASA to confirm invoice receipt
- Ensure prompt job card costing and invoicing post-repair
- Handle failed parts according to warranty policies and HASA instructions
- Ensure all job cards and invoices are signed by customers
- Maintain filing by chassis number
- Keep manual report of warranty parts older than 30 days (for incentives)
- Perform reasonable additional duties as requested by management
Qualifications & Experience:
- Matric (Grade 12)
- Over 2 years of experience in a similar or same role
