Job Overview

We are looking for a highly organised and detail-orientated individual to support our company secretarial function with the administration of an eBilling tool (Brightflag), manage access requests, and assist the Corporate Service team with various administrative tasks.

Primary Tasks & Responsibilities

Bank Account Validations

  • Assist Treasury with vendor bank account verifications and updates.
  • Liaise with Baar Treasury to provide vendor contact details for verification.
  • Reject invoices with outdated bank account details in Brightflag, provide reasons, and share vendor contact info with Treasury.

e-Invoicing Requests

  • Respond to invoice queries and internal allocation issues.
  • Liaise with Baar e-Invoicing team regarding vendor/address errors, incorrect entities, amounts, or allocation mistakes.
  • Provide invoice handling agreements to Accounting when required.

New Vendor Onboarding (Compliance & Brightflag)

  • Complete vendor questionnaires and liaise with vendors for additional KYC documentation.
  • Proactively prepare questionnaires for new vendor requests from Legal/Compliance.
  • Communicate directly with the KYC team and vendors to resolve documentation requirements.

Accounting Re-allocations / Changes / Blockages

  • Update Brightflag with internal allocations.
  • Work with Accounting to implement cost reallocation updates based on department or management instructions.

System Access Requests

  • Provide group-wide user access to Legal Operations systems.
  • Process SharePoint and GEMS access requests upon approval.
  • Set up user access within respective systems once approved.

Qualifications

  • Relevant NQF qualification.

Work Experience & Skills

  • Minimum 3 years’ administrative experience (legal or accounting environment preferred).
  • Strong organisational skills and attention to detail.
  • Advanced MS Office knowledge; experience with governance tools (e.g., Diligent).
  • Discretion and professionalism with confidential information.
  • Ability to work in a fast-paced, international environment.
  • Strong written and spoken English communication skills.
  • Team player with good interpersonal skills.
  • Strong sense of responsibility and ownership.
